An awards-night auction shares attention with the reason guests came: recognizing people and celebrating the organization. Choose a compact catalog and deliberate bidding windows so the auction supports the program without making the host improvise.
Choose where the auction belongs
Ask the program owner where browsing, live bidding and collection fit. A silent phase can give guests time before presentations. A short live segment can feature selected lots between approved program sections. If silent bidding leads into a live session, configure and rehearse a hybrid event.
Put auction cues in the same run-of-show as the awards. Include the active lot, host introduction, expected duration and confirmation before advancing. See the sample gala run-of-show for a starting structure.
Choose fewer, clearer featured lots
Use items that can be explained in a short introduction. A sponsor experience needs complete booking terms; a premium bundle needs an exact contents list. The host should describe the offering accurately rather than improvising promises about availability.
Get donor and sponsor approval for recognition. Check logos on the actual projector, and keep the sponsor's approved wording with the host script. Catalog recognition and screen presentation should describe the same donation.
Brief the team on one operating sequence
- The host introduces the lot only after the organizer confirms it is active.
- Floor spotters identify actual commitments using the agreed paddle system.
- The owner records protected floor actions and verifies uncertain submissions.
- The host waits for the result check before moving on.
- The finance and pickup team receives the resulting purchase information.
Volunteers can assist without sharing the owner's account. Rehearse how the host receives confirmation and what signal means the event is paused.
Choose what guests see during awards
Use the venue's presentation plan to avoid competing screens during recognition. OutbidX projector configuration supports choices such as the current lot, optional leaderboard, fundraising progress and sponsor recognition. Presentation settings do not change the accepted bid state or payment rules.
Verify the venue connection and display readability before doors open. If screens disagree, pause and inspect the state. Do not improvise a second award or keep accepting entries while the team is unsure which lot is active.
Make the departure instructions short
Tell winners where to open their purchase record and where pickup is located. A recorded floor award may still be cash due; a card award may need recovery. The organizer checks current payment status before release.
Use OutbidX for awards nights, the live operator guide and a rehearsed pickup station. Payments remain preview/test mode; confirm readiness before real-money participation.
Your next step: Add the auction cues to the approved program and rehearse them with the host, organizer and floor spotters.
