Set Up an Auction Checkout and Pickup Station That Flows

Separate payment questions from item collection, brief the helpers and use a sample desk procedure to avoid duplicate handovers.

A receipt moving through payment verification to an item pickup desk.

The last part of an auction is often where volunteer workload peaks. Guests want to leave, helpers are looking for items and some payments may still need attention. Separate payment questions from item collection and give everyone one procedure.

Set up three practical areas

  1. Welcome: guests find their purchase record and learn which desk they need.
  2. Payment help: the organizer resolves pending card purchases or confirms collected floor cash.
  3. Item handover: helpers find the correct item and the organizer records its release.

A small event can use one table with clearly marked positions. A larger event may need separate queues. The goal is to prevent a payment conversation from blocking every ready-to-collect guest.

Label the items before the event

Match storage labels to the catalog's item identifiers. Keep vouchers with their redemption instructions and confirm that gift bundles contain every listed component. Put bulky or fragile items in an appropriate location and tell guests where to go.

Have the donation coordinator explain substitutions or unresolved availability before bidding starts. A pickup helper should not discover that the advertised voucher is missing while a winner is waiting.

Use the canonical purchase record

A winning bid is not automatically a completed payment. OutbidX purchase records distinguish pending card payment, cash due, paid, refunded and released states. Use the current record rather than a screenshot, an old export or a message saying someone has paid.

The owner opens Fulfillment Desk and looks up the receipt code. Only the purchase's organizer can perform protected release actions; helpers can locate and hand over items under the agreed procedure without sharing credentials.

Rehearse the desk sequence

  • Find the correct purchase and verify the item and recipient.
  • For pending card payment, direct the buyer to the offered recovery action on the same receipt.
  • For cash due, collect the exact amount and use the organizer's cash-confirmation action.
  • Confirm the current paid status and check that release has not already occurred.
  • Hand over the item, then record release.

Cash confirmation and item release are separate actions. A receipt code does not override unpaid or refunded status. Read the current payment and pickup guide for the exact controls.

Arrange later collection without losing the trail

Publish a contact, location and collection window. Winners and organizers can use the private purchase conversation to agree on arrangements after the auction ends. A promised pickup does not mean the item has been released; record the actual handover.

Finish by reconciling remaining items against unreleased purchases. Give the next shift a list of unresolved cases with an owner and next action. Keep private buyer information in the approved records.

Your next step: Rehearse one paid purchase, one pending card purchase and one cash-due award in preview/test mode before a real-money event is approved. Start with the live auction demo to see why cash confirmation and item release are separate steps.
