Payments, receipts and pickup

Distinguish authorizations, paid awards, cash and released items.

Current release: Stripe TEST mode. These guides describe the auction workflow. Real-money collection requires a separately activated live deployment and verified live seller setup. Arrange your rehearsal before inviting guests to pay.

Connect the actual seller

The owner completes Stripe Payout Setup from Dashboard through hosted Stripe onboarding. Check the displayed readiness and complete any Stripe requirements before accepting card commitments. A Stripe profile link or another person’s account is not a verified seller connection. Do not paste API keys, bank credentials or identity documents into chat/support.

The current verified release uses Stripe TEST mode. Real-money availability requires a separate live activation and verified live seller setup. A successful sandbox payment does not establish a bank payout. Card proceeds follow the seller’s Stripe payout schedule and account requirements; no two-day arrival is guaranteed.

Amounts and fees are CAD

Starter: no monthly subscription, platform fee 10% + CAD 1.00 per successful card sale. Pro: CAD 29/month, 6% + CAD 0.75 per card sale. Elite: CAD 99/month, 4% + CAD 0.50 per card sale. Check current Pricing before your event.

Stripe processing costs are additional. The website calculator estimates 2.9% + CAD 0.30 and excludes monthly subscription cost; actual processor costs can vary. Successful card payments deduct the platform fee and credit the connected seller. Floor cash is collected by the organizer; recording cash neither transfers it through Stripe nor automatically deducts a platform fee.

Know the payment status

What the receipt means
StateNext action
Authorized / bid acceptedA commitment/hold exists, not necessarily a collected payment.
Pending card paymentWinner opens the receipt and completes Pay now when available; authentication or another recovery step may be required.
Cash dueOrganizer collects the exact amount and confirms it before release.
Paid / paid in personVerify the canonical receipt and hand over the correct item before recording release.
Partially refunded / refundedResolve with the organizer; a stale paid label or old code is not release permission.
Fulfilled / releasedPickup has already been recorded. Do not release the same item again.

Buy Now and live item close can collect eligible card payments immediately. Other eligible awards/contributions settle through auction finalization. Declines, authentication requirements, reserve failures and cash awards prevent a blanket “all winners paid” assumption.

Recover a pending card payment

The buyer opens the same receipt from My wins and uses Pay now if offered. Complete Stripe’s authentication step and check the receipt again. A failed challenge leaves payment pending. If a response is lost, inspect that existing purchase before retrying; do not make a separate replacement sale to clear the screen. Contact the organizer/support when there is no recovery action or the obligation is wrong.

Talk to the organizer or winner

A winner can open the receipt and choose Message organizer; the organizer sees Message winner on that same purchase. Use the private conversation to agree on pickup or discuss a refund. It remains available after the auction ends, even if public item discussion is closed. Other participants cannot read it.

A message promising payment, pickup or a refund does not change the purchase record. Complete the relevant payment, refund or release action and verify the receipt. Never send passwords, full card numbers or bank credentials in a conversation.

Confirm floor cash and release

  1. The auction owner opens Fulfillment Desk and looks up the winner's receipt code.
  2. For cash due, collect the full displayed CAD amount. Enter Amount received (CAD), check I have received the full cash payment for this order, then select Confirm cash payment. A short amount is not a paid award.
  3. Verify paid status and the correct item/recipient. Hand it over, then select Mark as Released. Cash confirmation and item release are separate actions.

Only the purchase's organizer can release it. A receipt code does not override unpaid/refunded status or grant an unrelated account access.

Refund and reconcile

Use the organizer’s offered refund action against the original purchase and review the amount remaining. Partial and full refunds reduce the canonical payment balance; do not repeatedly create a new request while the original is pending. Cash/refund or disputed-item questions need organizer resolution rather than an invented Stripe payment.

Review Financials, receipts, cash collection and refunded amounts. Export the payment CSV for your records. Collected totals after refunds precede platform/processing fees; estimates and live bid totals are not a bank balance. Payment receipts are not automatically charitable tax receipts. Use Billing for the organizer’s subscription, which is separate from auction awards.
