OutbidX help

Prepare your catalog and import CSV

Validate item information before saving or inviting bidders.

Current release: Stripe TEST mode. These guides describe the auction workflow. Real-money collection requires a separately activated live deployment and verified live seller setup. Arrange your rehearsal before inviting guests to pay.

Set up an item

Use Item Catalog during creation or the event’s item-management controls. Ordinary auction items have a starting bid, optional reserve, optional Buy Now, fair market value, category and description. Fundraising items have a minimum contribution and optional goal; they do not work as highest-bid-wins lots.

  • Item title: 2–200 characters; description: up to 2,000 characters.
  • Use nonnegative CAD amounts up to 1,000,000 with at most two decimals. Ordinary starting bids are at least CAD 5; fundraising minimums at least CAD 1.
  • A nonzero reserve must not be below the starting bid. A nonzero Buy Now must not be below the starting bid or reserve. Use a positive valid increment where offered.
  • Verify pickup, availability, donors, valuations and permissions. Leave unverified facts blank or resolve them before saving. A tax-related field is not proof of charitable eligibility.

Photos, videos and sponsors

Upload PNG, JPEG or WebP images of at most 5 MiB each; items support up to ten images. Uploads are resized/recompressed for display, so this is not an original-resolution art archive. Alternatively use real accessible image links. Add only sponsor names/logos you have permission to display; item sponsors can appear in bidder/projector views.

Use a complete YouTube video/share/live URL in the offered video field and check the bidder preview. The app embeds supported YouTube content; it does not host a broadcast or compensate stream delay. Verify photos and video on another guest device before sharing.

Import your spreadsheet

  1. Download the current twelve-column CSV template. Replace the fictional sample rows with verified item information.
  2. Open Import Items; its Download Template control is also available. Save your spreadsheet as CSV, not an Excel workbook.
  3. Choose a file of no more than 5 MiB and 1–400 item rows. Starter has ten total items per auction; the importer can limit rows to the remaining allowance.
  4. Review the column mapping. Required fields are Item Title and Starting Bid ($). Correct validation issues, review the proposed items, then import.
  5. Save the catalog and reopen the event to verify the persisted items, amounts, photos and type. An import preview alone is not a saved auction.

Edit safely

Paid plans remove Starter’s item quota, but CSV imports and full-catalog edits are bounded to 400 items. Save valid changes and reload when asked about a conflicting revision. Items with bids, holds, awards or purchases can block pricing/type changes and deletion; metadata edits do not erase financial history. Do not replace a locked item to bypass its obligations.

For help organizing donor listings, use the ChatGPT preparation guide. Review AI output before importing; nothing in that process publishes an auction automatically.
