The auction is not finished when the last timer ends. Pending purchases, uncollected items, donor thanks and finance records still need owners. A short closeout routine helps your organization report accurately and gives the next volunteer team a useful starting point.
First, list the unresolved cases
Review item outcomes and purchase records. Separate pending card payments, cash-due awards, refunds and unreleased items. Give each case a named owner and next action instead of leaving a general “follow up” note.
For a pending card purchase, the buyer uses the recovery action offered on the same receipt. For cash due, the organizer confirms actual collection. For an uncertain response, inspect the original purchase before retrying. Follow the payment guide rather than creating a replacement transaction.
Reconcile activity against collected money
Leading bids, authorizations, floor commitments and contribution goals describe activity. They are not interchangeable with captured payments or bank payouts. Check paid and refunded amounts, cash actually received, platform/processing fees and event costs through your organization's finance process.
OutbidX Financials and its payment CSV can support that review. Exports are snapshots; check current purchase records when a later refund or recovery changes the outcome. The seller's payment records establish the processor side of the reconciliation.
Finish the physical handover
Match every remaining item against an unreleased purchase or unsold outcome. Confirm that vouchers include redemption instructions and that any agreed later pickup has a contact and window. Mark release when the actual handover occurs.
Winners and organizers can use the private purchase conversation after the event. A message promising collection does not record release, and a message promising a refund does not perform the refund.
Thank donors specifically
Hello [name], thank you for donating [item] to [event]. Your support helped our community work toward [approved purpose]. We appreciated [specific detail]. We are finishing the event reconciliation and will share an approved update when complete. Thank you again from [organization].
Use confirmed results if you include figures. Thank volunteers for the work they did, and keep buyer details private. Only describe a contribution as eligible for a charitable receipt after your organization has independently determined that status.
Write the handover while details are fresh
- Which items attracted questions, and what terms were missing?
- Where did guests need help joining or bidding?
- How much work did closing and pickup require?
- Which donor relationships need a follow-up?
- What would make the next event simpler?
Record observations rather than assuming the format caused every result. An unsold item may reflect timing, restrictions or audience fit; it is a prompt to investigate.
For the next event, revisit the eight-week checklist and budget worksheet. OutbidX remains in preview/test mode; rehearsal results are not evidence of real collected proceeds.
Your next step: Schedule a brief closeout meeting with the finance, donation and pickup leads, bringing an unresolved-case list and three practical improvements.
